Take Surveys with Survey Monkey

The integration between Nubimed and Survey Monkey will allow you to easily send surveys to your patients, both manually and when certain events occur within Nubimed.

Prerequisites

Before you can use Survey Monkey, you must complete the following steps:

• You will need to contact the Nubimed support team to request the activation of the Survey Monkey module for your account .
• You must have an account registered in the Survey Monkey service , which will be linked to your Nubimed account. The Nubimed account manager can register with Survey Monkey using this form .
• In the Survey Monkey account you must create all the surveys that you want to send to your patients. In each of them we must have at least one type response Web Link collector (Nubimed only works with this type of response collectors) . It is important that you give very clear names to the surveys and their answer collectors, so that it is easy for you to identify them later in Nubimed.

It is important to note that only one Survey Monkey account can be linked to a Nubimed account at a time. Therefore, if in Nubimed there are several clinics under the same account with the Survey Monkey module activated, all of them will share the link with Survey Monkey.

Link Survey Monkey account with Nubimed

Only account manager users or users with Administrator role will be able to link a Nubimed account with a Survey Monkey account. To link the accounts, follow these steps:

• Log in to Nubimed with a user who is an account manager or has the account administrator role .
• In the same browser, in a new tab, log in to Survey Monkey with the account we want to link to Nubimed.
• In Nubimed, go to the home page and click on the "Click aquí para vincular con Survey Monkey" .

• After clicking, a web page owned by Survey Monkey will open where you have to give your approval for both accounts to be linked. You must click on the button "Authorize" .
• Once done, you will return to the Nubimed home page. The link will be made and you will be able to verify that the message in the integration box has changed.

Manually send a survey to a patient

When we want to send a survey manually to a patient, the first thing we have to do is look for their file from the Nubimed option "Clínica>Agenda> Pacientes/Contactos ". Once the file is located, from the actions menu, we will select the option "Enviar Encuesta".

A window will open that will allow us to select the survey and the response collector corresponding that we want to send to the patient. Once both options have been selected, we will press the button "Enviar".

For this sending to be possible, the patient must have in their file a valid email informed and the option must be checked to indicate that the patient has authorized the sending of emails. If both are true, Nubimed will send the patient an email with the link of the selected response collector. The patient can answer the question by clicking on this link.

 

Send surveys automatically at the end of appointments

Nubimed can be configured to send a survey to a patient when an appointment is completed. For this to be possible we must:

• From the option "Configuración>Clínicas>Notificaciones " activate the notification of type "Enviar encuesta al finalizar una cita".

• Editing the notification that we just activated:
  • We will have to select the survey and the answer collector that we want to be sent to patients at the end of an appointment.

 

• • We can customize the content of the email that the patient will receive with the survey. It is very important that we always include the variable with the link that will allow the patient to fill out the survey .

• Decide the types of appointments to which we want to send survey when an appointment with that type is finalized. Once decided, from the option "Configuración>Cuentas>Tipos de cita", we can edit our types of appointment and mark the indicator "Enviar encuesta al finalizar" for those that we want.

• We will have to decide if we want those appointments that do not have an appointment type assigned to also send a survey at the end. If so, we must go to the option "Configuración>Cuentas>Clínicas" and editing the clinic go to the tab "Configuración>Agenda" and check the option "Las citas sin tipo de cita definido también envían encuesta al ser finalizadas"

Once these steps have been completed, each time we end an appointment with the selected types or do not have an appointment type (if we have so decided), the patient will receive by email a link to fill out the selected survey.

Send surveys automatically when completing treatments

Nubimed can be configured to send a survey to a patient when a treatment of a certain type is completed. For this to be possible we must:

• From the option "Configuración>Clínicas>Notificaciones" activate the notification of type "Envío encuesta al finalizar un tratamiento".

• Editing the notification that we just activated:
  • We will have to select the survey and the answer collector that we want to be sent to patients at the end of an appointment.

 

• • We can customize the content of the email that the patient will receive with the survey. It is very important that we always include the variable with the link that will allow the patient to fill out the survey .

• Decide the types of treatments we want to survey when they are completed. Once decided, from the option "Configuración>Clínicas>Tratamientos", we can edit our types of treatments and mark the indicator "Enviar encuesta al completar" for those who wish to do so.

Once these steps are completed, each time we complete a treatment with the indicated types, the patient will receive by email a link to fill out the selected survey.

Unlink Survey Monkey from Nubimed

To stop using Survey Monkey in Nubimed we will have to do two things:

• Unlink Survey Monkey account from Nubimed . To do this, on the Survey Monkey website:
  • We will go to the menu "My account" located in the drop-down at the top right of the window.

• • We will go down to the  section Associated accounts , we will look for the Nubimed application and click on the link "Unlink" .

• Finally, you must send an email to the Nubimed support team to deactivate the Survey Monkey module .
